COLLEGE TRIPS

  1. Legal Considerations

The Health and Safety Act of 1974 makes all employers responsible for employees’ safety.
The Health and Safety at Work Act 1992 requires employers to assess risk, introduce measures to control risk and inform employees about measures.

Employees are required to take reasonable care of others, co-operate with employers, perform their duties accordingly and inform employers of risks.

  1. Headteacher’s Responsibilities

The responsibility for college trips and outings with regard to Health and Safety is the responsibility of the Head. The Head should ensure that:

    1. there are adequate child protection procedures
    2. there has been adequate preparation
    3. a risk assessment has been carried out
    4. any appropriate training has been carried out
    5. the group leader is capable
    6. sufficient time has been allowed to organize the outing
    7. there are an appropriate number of supervising staff
    8. parents have signed consent forms
    9. provision for students with SEN or medical needs has been made
    10. there is provision for first aid
    11. the mode of transport is appropriate
    12. travel dates and times and accommodation have been fixed
    13. there is insurance cover
    14. there are emergency/disruption procedures in place
    15. all appropriate tel numbers and contacts have been take
    16. there is an accurate list of all participants
  1. Group Leaders should:
    1. have the head’s consent
    2. follow Health and Safety guidelines
    3. be capable of leadership and control
    4. be aware of child protection issues
    5. be trained in first aid
    6. make careful plans
    7. make a risk assessement
    8. brief all participants
    9. assess suitability of students
    10. be empowered to cancel/reorganize the trip as appropriate
  1. Students should:
    1. take no unnecessary risks
    2. obey the group leader
    3. dress and behave appropriately
    4. be sensitive to cultural issues when overseas
    5. be alert to danger
    6. take part in the planning process
    7. be aware of cultural issues such as language, laws and customs
    8. be aware of equal opportunities legislation
    9. be aware of guidelines on behaviour, including sex
    10. know what they may bring back to UK
    11. understand and obey rendezvous procedures
    12. know how to summon help
    13. know what activities are out of bounds
    14. carry an id card of some sort
    15. have sufficient cash
    16. carry a note with accommodation details
    17. if separated from group, know what to do
    18. understand appropriate travel safety procedures
    19. inform staff of any allergies, phobias, dietary considerations.
  1. Parents should
    1. be properly informed of dates, times and accommodation, including preparation
    2. be informed of the objectives of the visit
    3. be informed of the group size and composition
    4. be given contact details
    5. be informed of required behaviour
    6. provide contact details
    7. sign consent form
    8. inform of any emotional/psychological/physical needs of their children; including any allergies, phobias, dietary considerations.
    9. be informed of procedure if child is sent home

 

  1. Planning
    1. A risk assessment should be carried out, aiming to prevent/minimize any perceived risk.
    2. Emergency procedures should be paramount.
    3. Insurance should be in place
    4. Sufficient supervision is in place
    5. Ages and sexes of students are taken into account.
    6. Transport is safe
    7. A plan for recalcitrant students is in place.
    8. An exploratory visit has been made if possible; otherwise some other form of vetting should take place
    9. There is a first aid box and firstaiders.
    10. Headcounting procedures are in place.
    11. Procedures for supervision/remote supervision are in place.
  1. Accommodation
    1. should have adjoining rooms and be separate from others
    2. staff should be aware of its layout
    3. should be secure and vetted for health and safety.
