ACCOMMODATION POLICY

NATURE AND ORGANIZATION
 
The college is delighted to be able to offer accommodation in host families and in associated student hostels. All accommodation is monitored by the Accommodation Officer who appraises the provision annually through personal visits and interviews with students who have been accommodated.
 
ADMISSIONS POLICY FOR ACCOMMODATION
 
 The college will organize accommodation in a hostel or homestay for all who request it.
 
Where students are sharing a room they must be of equivalent ages.
 
In most cases, students will share a room although the college will do its best to accommodate requests for single rooms.

Students may change accommodation according to the notice required (usually not more than 2 weeks). The Accommodation Officer will offer necessary assistance for such changes.

Students are expected to be responsible and independent. If emergencies arise they should be assisted in the first instance by the wardens or proprietors of the accommodation but are provided with several emergency contact telephone numbers, including that of the Accommodation Officer.
 
In general, there are no organized activities provided by the hosts of our accommodation although the college does provided assistance with locating clubs or societies which may be of interest.

Students with disabilities and special requirements, such as medical or dietary, will be assisted and placed in appropriate venues.
            

RISK ASSESSMENT
All accommodation must be assessed for all risks as  per our risk assessment for premises. In particular, windows on upper floors might require safety glass or other means of preventing accidents.
 
SHARING A ROOM
Students sharing a room must be of the same age range (ie under 18 or over eighteen) and the same gender.
If accommodated with a host family, no student must share a room with a member of the host family.
 
ACTIVITES
Students must be offered a range of activities which they are free to take up in their free time.
 
APPRAISAL
All accommodated students should have access to the Accommodation Officer to consult about any problems or concerns they have about accommodation.
The Accommodation Officer, or one of his deputies, should interview all such students at least once per year to assess and appraise the accommodation.
 
WARDENS
All accommodation should have at least one warden on site at all times.
 
ILLNESS
The Accommodation Officer will oversee and advise accommodated students who fall ill.
 
STUDENT HANDBOOK
All students will be provided with a handbook offering a range of advice from college policies, amenities and emergency procedures.
The handbook will have particular relevance to those students who are accommodated by the college, dealing as it does with such issues as:
Health and Safety, Substance Abuse, Child Protection and Bullying, College Policies, Staff/Student relations, Amenities, Helplines, Advisory Services and Counselling. and Transport.
 
EMERGENCY CONTACT NUMBERS
In particular, students who are accommodated will have access to emergency contact numbers.
 
PERSONAL SAFETY AND THEFT
Students should be advised to pay particular attention to valuables they keep at their residence.
 
DIET
If students have the opportunity to cook for themselves, they should be advised about proper dietary considerations.
 
All students should make specific any restrictions they make on their diet for health, cultural or religious reasons. If students have the opportunity of taking meals at their accommodation, the college ensures that these considerations are met. If students cook for themselves, the college provides access to information to locate the required food.
 
STAFF HANDBOOK
The college updates its staff handbook annually. As with the student handbook it contains important information concerning issues such as Child Protections, Health and Safety, Advisory Services, and SEN. This handbook is distributed to all staff and families who oversee student accommodation.
 
APPROPRIATE FACILITIES
All bedrooms must allow at least 6 square metres per student.
 
All accommodation must have appropriate facilities in good order. These should include a desk with study lamp, a wardrobe and chest of drawers, an adequate electrical supply and adequate heating and ventilation (each bedroom must have at least one window).
 
There should be laundry facilities, a cleaning scheme in place, and easy access to the purchase of food.
 
The common room should have access to a television.
 
There must be at least one toilet for every five students; 1 basin for every three students and one shower for every ten students.
 
Each bedroom must be lockable with each occupant having their own key. Students’ privacy must be respected and the room entered without their consent only in exceptional circumstances. CCTV may not be used in study-bedrooms.
 
DISCLOSURE
All staff at hostels, or members of the host families, who come into regular contact with students at their accommodation must have been vetted through the CRB.
